Vi har \u00e4ntligen lyckats genomf\u00f6ra en konferens f\u00f6r alla medarbetare inom ITM:s st\u00f6dverksamhet. Turen har inte st\u00e5tt p\u00e5 v\u00e5r sida. Pandemin satte k\u00e4ppar i hjulen f\u00f6r en inplanerad konferens, n\u00e4sta f\u00f6rs\u00f6k fick st\u00e4llas in f\u00f6r att vi var f\u00f6r snabba att tro att pandemin var \u00f6ver. Men, den h\u00e4r g\u00e5ngen blev det av. Inf\u00f6r samg\u00e5endet blev temat: \u201dAtt vara verksamhetsn\u00e4ra i ett f\u00f6r\u00e4ndringsarbete\u201d.<\/p>\n<p>Vi startade upp tv\u00e5dagarseventet med en extern f\u00f6rel\u00e4sare, Eric Thyrell som f\u00f6rel\u00e4ste om \u201dAtt t\u00e4nka stort\u201d. Det handlade om att t\u00e4nka nytt, locka fram v\u00e5r inre gl\u00f6d samt modet att m\u00f6ta f\u00f6r\u00e4ndringar och utmaningar. Hans prat om olika typer av m\u00e4nniskor p\u00e5 arbetsplatsen och hans erfarenheter under vatten fick oss att b\u00e5de skratta och gr\u00e5ta. Vad gjorde karln med oss? (Tack Annika Borgenstam, Martin Grimheden, Bj\u00f6rn Laumert och Anna Jerbrant f\u00f6r att ni tog er tid.) Anna Blendow, v\u00e5r f\u00f6rra HR-chef p\u00e5 ITM-skolan, var v\u00e5r moderator under konferensen och hj\u00e4lpte oss att h\u00e5lla ordning p\u00e5 talare, h\u00e5lla tider etc, men ocks\u00e5 att st\u00e4lla relevanta fr\u00e5gor (stort tack Anna f\u00f6r detta).<\/p>\n<p>Vi diskuterade: Vad betyder verksamhetsn\u00e4ra f\u00f6r oss? Vad menar vi med ett KTH? Vad ser vi f\u00f6r m\u00f6jligheter och hot i och med samg\u00e5endet mellan nuvarande GVS (gemensamt verksamhetsst\u00f6d) och skolornas egna administration? Hur v\u00e4rnar vi om att visa \u00f6msesidig respekt, f\u00f6rst\u00e5else, kunskap och tillit? Ska vi rent av ska skrota ben\u00e4mningarna \u201dk\u00e4rnverksamhet\u201d och \u201dst\u00f6dverksamhet\u201d, vi jobbar ju alla i samma verksamhet, som n\u00e5gon i panelen p\u00e5pekade.<\/p>\n<p>Panelen var \u00f6verens om att kompetensen \u00e4r h\u00f6g inom st\u00f6dverksamheten. Det \u00e4r l\u00e4tt att f\u00e5 hj\u00e4lp, men vi m\u00e5ste visa att vi f\u00e5ngat fr\u00e5gan eller \u00e4rendet tydligare \u00e4n vad vi g\u00f6r idag. Vi beh\u00f6ver tr\u00e4ffas oftare, bilda team av kompetens ut mot k\u00e4rnverksamheten. Det fanns en gemensam \u00f6nskan fr\u00e5n panelen om att st\u00f6dverksamheten skulle f\u00f6rst\u00e5 hur institutionerna fungerar och vilka behov de har. Genom att \u00f6ka f\u00f6rst\u00e5elsen kan vi v\u00e4ssa v\u00e5rt st\u00f6d.<\/p>\n<p>F\u00f6rsta dagens diskussioner resulterade i en diger lista med fr\u00e5gor till n\u00e4sta dags g\u00e4ster: Kerstin Jacobsson, universitetsdirekt\u00f6ren, och Malin Ryttberg fr\u00e5n ledningskansliet. \u00c4ven h\u00e4r anordnade vi en mini-panel med Kerstin, Malin, Jenni Hollbrink och mig. Vi diskuterade planen f\u00f6r samg\u00e5endet mellan skolornas st\u00f6d och GVS; sekretariatets roll i f\u00f6r\u00e4ndringsarbetet; IT-portf\u00f6ljen f\u00f6r administration och hur vi ska beh\u00e5lla friheten och flexibiliteten f\u00f6r att kunna ge god service till ITM:s l\u00e4rare och forskare trots att vi f\u00e5r gemensamma processer f\u00f6r hela KTH. En hel del ny energi och insikten att f\u00f6r\u00e4ndringar i sig inte alltid ger en f\u00f6rb\u00e4ttring, men \u00e5 andra sidan, f\u00f6rb\u00e4ttringar sker alltid genom f\u00f6r\u00e4ndring. I Eriks f\u00f6rel\u00e4sning fick vi ocks\u00e5 veta att det tar ca 66 dagar att skapa en ny vana. Risken \u00e4r med andra ord stor att vi ger upp f\u00f6r tidigt. Tittar vi 66 dagar fram\u00e5t landar vi p\u00e5 23 januari. Det \u00e4r v\u00e4rt att d\u00e5 f\u00f6lja upp konferensen och se om vi tillsammans har lyckats skapa nya vanor kopplat till r\u00e4dslor, valda sanningar, attityd och kommunikation.<\/p>\n<p>Stort tack till er alla!<\/p>\n<p>\/Christina Carlsson, Administrativ chef p\u00e5 ITM-skolan<\/p>\n<h2>66 days to a new habit<\/h2>\n<p>We did! We finally managed to arrange a conference for all employees within ITM&#8217;s support services. Our ambitions have been dogged by bad luck. The pandemic put a planned summit on hold; the next attempt had to be canceled because we were too quick to believe that the pandemic was over. But, now it happened. And since we are facing a merger, the theme was: &#8220;Being close to operations in times of change.&#8221;<\/p>\n<p>We started the two-day event with an external lecturer, Eric Thyrell, who talked about &#8220;Thinking big&#8221;. About bringing out our inner glow and the courage to face changes and challenges. His talk about different types of people at the office along with his experiences underwater, had us both laughing and crying. What did the man do to us? He injected an overdose of energy that lasted throughout the conference.<\/p>\n<p>After the lecture, we had a panel discussion with employees from the core business. (Thank you Annika Borgenstam, Martin Grimheden, Bj\u00f6rn Laumert and Anna Jerbrant for taking the time.) Anna Blendow, our former HR manager at the ITM school, was our moderator during the conference and helped us to keep the order of speakers, keep times, etc, but also to ask relevant questions (many thanks, Anna, for this).<\/p>\n<p>We discussed what \u201cclose to operations\u201d means to us? What do we mean by \u201cOne KTH\u201d? What opportunities and threats do we see in the merger between the current GVS and the schools&#8217; administration? How do we show mutual respect, understanding, knowledge and trust? Should we skip the terms &#8220;core business&#8221; and &#8220;support services&#8221;? After all, we all work in the same \u201cbusiness\u201d, as someone on the panel pointed out.<\/p>\n<p>The panel agreed that competence is high in ITM\u2019s support services. It is easy to get help, but we must clearly show that we are on a particular issue or task. We need to meet more often and form teams of competence towards the core business. The panel expressed a wish for the support to understand better how the departments work and their needs. By increasing understanding, we can sharpen our offer.\u00a0The first day&#8217;s discussions resulted in quite a list of questions for the next day&#8217;s guests: Kerstin Jacobsson, the university director, and Malin Ryttberg from the management office. Here, too, we organized a mini-panel with Kerstin, Malin, Jenni Hollbrink, and me. We discussed the plan for the merger between the schools&#8217; support and GVS, the IT portfolio for administration, and how we should maintain the freedom and flexibility to provide good service to ITM&#8217;s teachers and researchers even though we get standard processes for the whole of KTH. We also learned how the work on the merger is anchored in the core business.<\/p>\n<p>So, what insights do we bring back home? I\u2019d say a lot of new energy and the understanding that changes in themselves do not always carry an improvement, but on the other hand, improvements always happen through change. In Erik&#8217;s lecture, we also learned that forming a new habit takes about 66 days. In other words, we risk giving up too soon. If we look 66 days ahead, we land on January 23.
