Information on the Processing of Personal Data in KTH’s Student Survey

KTH Royal Institute of Technology (KTH) conducts this student survey for the purpose of monitoring and developing education, the study environment, and student support. Below, we describe how your personal data is processed and what rights you have under the General Data Protection Regulation (GDPR).

Data Controller

KTH is the data controller for the processing of personal data within the scope of this survey.

Purpose of the Processing

The purpose of the student survey is to collect material for quality assurance, follow-up, and for the development of KTH’s degree programmes, study environment, and student support services.

Personal data is processed for the following overarching purposes:

  • monitoring the quality of education,
  • analysing students’ study and learning environment,
  • identifying areas for development at programme and institutional level,
  • supporting decisions and actions related to education, study environment, and student support services.

Legal Basis

The processing of personal data is based on Article 6.1 e of the GDPR, as part of KTH’s performance of a task carried out in the public interest.

Sensitive Personal Data

The survey may include questions relating to sensitive personal data, such as information about health, discrimination, or harassment. The processing of such data is carried out on the basis of Article 9.2 g of the GDPR, as it is necessary for reasons of substantial public interest.

Voluntary Participation

Participation in the student survey is completely voluntary. You may withdraw at any time by leaving the survey without submitting your responses. You may also choose not to answer specific questions. This will not affect your studies or your relationship with KTH.

Categories of Personal Data

Personal data that may be processed includes:

  • your survey responses (e.g. regarding background, study environment, health, equal treatment, safety, and discrimination),
  • information from Ladok (name, email address, gender, age, and information about your degree programme).

Recipients of the Personal Data

The data is processed by authorised staff at KTH and by the system provider, Artisan Konsult AB, which supplies the survey tool Artologik Survey&Report. Only anonymised and aggregated results are shared externally with for example THS, Programme Directors, Directors of First and Second Cycle Education, and published on KTH’s website.

Confidentiality

The information you provide is protected by secrecy under Chapter 24, Section 8 of the Swedish Public Access to Information and Secrecy Act (2009:400). Everyone working with the survey is bound by confidentiality. The processing of personal data is regulated in the EU GDPR and the Swedish Data Protection Act (2018:218), as well as in the Swedish Official Statistics Act (2001:99) and the Official Statistics Ordinance (2001:100).

Storage Period and Anonymisation

Personal data is stored only for as long as it is necessary to carry out the survey. When you click the “Submit” button, the link between your personal details and your responses is removed. This means that it is not possible to trace who has answered what, or when.

KTH also takes measures to ensure that no one can be “identified” when response numbers are low. At least three responses are required for any result to be displayed. Free‑text answers may be edited if they contain identifying information.

As a thank you for taking part in the survey, you have the chance to win products from the KTH Shop. The system registers participation, but it is not possible to connect participation to individual responses. You can therefore be assured that we cannot see your individual answers.

Once the survey has closed and the winners of the prize draw have been contacted, the personal data retrieved from Ladok is deleted, which means it is no longer possible to see which students were originally linked to the survey.

Only anonymised and aggregated results are stored for long‑term follow‑up and statistical purposes.

Technical and Organisational Security Measures

KTH implements appropriate technical and organisational measures to protect your data, including:

  • restricted access for authorised personnel,
  • encryption and secure IT systems,
  • clear routines for handling, storing, and anonymising data.

Your Rights

Under the GDPR (Articles 12–22 and 77), you have the right to:

  • receive information about how your personal data is processed,
  • request access to the personal data processed about you,
  • request rectification of incorrect or incomplete data,
  • request erasure of personal data,
  • request restriction of the processing,
  • object to the processing of your personal data,
  • lodge a complaint with the Swedish Authority for Privacy Protection (IMY) if you believe your data is being processed in violation of GDPR.
