Outdoor events and parties

It is a requirement for outdoor events and parties outdoors that the organiser has a permit from KTH as well as approval from the property owner and/or landowner.
The organiser needs to contact the property owner and/or landowner and check whether there are any campus-specific instructions for the campus area in question.

Outdoor events and parties

KTH has an agreement with property owners on consultation in connection with events and parties. This agreement means that all events and parties and arrangements in connection with them must be preceded by a right-of-use permit from the property owner and consent to the same from KTH before they can take place.

At KTH Campus, for example, Akademiska Hus (AH) is responsible for the area of land directly adjacent to KTH’s premises, the City of Stockholm is responsible for Drottning Kristinas väg and Kungliga Djurgårdens förvaltning (KDF) for the “fixtures and fittings”.

Right of use to the land area is required for the use of vehicles/tents and large items, and applications for this are made through KTH. An application for consent from KTH is made through the KTH security group. The chapter announces that they wish to exercise the right of use by email, from which KTH prepares and sends the relevant form to the chapter for signature and any remaining information. This must then be sent by email to KTH, which will subsequently send it to the property owner concerned for approval before the chapter receives final approval from KTH.

For events and parties on land area belonging to the City of Stockholm and Kungliga Djurgårdens förvaltning, permission is applied for from these, and the consent of KTH is not required. The exception to KTH’s permission or consent not being required is the practice that THS and KTH collaborate to ensure reduced disruption, the maintenance of safety, well-being and security for the organiser, guests, KTH, AH and its visitors, as well as neighbouring tenants.

In connection with larger outdoor events and parties, the organiser is responsible for dealing with sanitation-related matters. KTH applies the recommendations issued by the Swedish Civil Contingencies Agency (MSB): at events that are open for up to 6 hours there should be at least 1 toilet per 120 women and 1 toilet per 600 men, as well as 1 urinal per 175 men. The requirements are increased if the opening hours are longer. Please note that these are recommendations; special requirements may be issued by KTH.

The organiser is responsible for ensuring that reinforced vessels/containers etc. for household waste and fractions are ordered, set up and removed as required. The organiser is responsible for ensuring that the arrangement as a whole takes place within the specified time in accordance with the permit/consent and that the area is restored to its original condition.

Noise level limitation

At outdoor events and parties, the organizer is responsible for ensuring that the sound levels are in line with the Public health agency of Sweden general advice on high noise levels, which among other things means restrictions on which decibel levels may be played / occur during events. The organizer is responsible for continuously checking the decibel level during the event with approved decibel meters. Guards may also assess the sound level with their own decibel meters, if there is reason to believe that the guideline values ​​have been exceeded.

Special consideration must be given during exam- and re-exam periods and when playing music late in the evening / night. For larger events, KTH security must always be contacted at least 15 days before for individual assessment.

Barbecues

A barbecue must also be preceded by a conventional application to KTH for a gathering no later than four working days before the event.

The “Application for a gathering” form can be downloaded from the student form archive and sent by email to KTH, festanmalan@kth.se , with “Barbecue” selected, after which KTH will attach its approval and return it to the chapter.

Before a barbecue takes place, the person responsible must check whether a fire ban is in place by calling the Fire Service’s information line 08-454 83 39. If there is a fire ban in place, all fires are banned. Barbecuing is not permitted at Osquarsbacke or Borggården.

The checklist "Checklista Grillning" must be stored at the barbecue site and must be presented to security guards or KTH security in connection with any follow-up by internal control.

Bear in mind that barbecuing always takes place under your own responsibility, and anyone who has started a fire through negligence can be held accountable for this. Cover the barbecue after use and DO NOT dispose of any charcoal until the following day.

Fire starters or electric lighters are recommended when lighting a fire for safer handling. When barbecuing, there must be fire-extinguishing equipment directly adjacent to the barbecue, and the ground beneath the barbecue must be covered. Fire extinguishing equipment can be borrowed from KTH. Barbecues must not be set up directly adjacent to a building or vehicle, with the distance adapted to the source of the barbecue, at least 6 meter. Disposable barbecues are not permitted.
