GDPR regarding studies abroad

Here you will find information about the processing of personal data when it comes to applying for studies abroad.

Information on Processing of Personal Data

This information sets out how KTH uses your personal data in compliance with the General Data Protection Regulation (EU 2016/679), GDPR. It applies if you are an outgoing exchange or traineeship student.

Who is responsible for complying with the GDPR?

KTH collects the personal data through the application for exchange studies/traineeships. This data is in the next step processed at the receiving university within the frame of the cooperation agreement and the administration of student exchange/traineeship. The receiving institution is responsible for treating the data correctly.

What personal information will be processed?

The information (name, email address, date of birth, nationality, address, next of kin, study background and desired courses) you provide in your application form will be used for the following purposes:

  • To enable your application to be considered for entry.
  • To enable both KTH and the receiving institution to initiate your student record if you should be accepted.

Only authorized staff at KTH and at the institutions below will have access to your personal data.

Transfer of personal data

The data will only be transferred to other institutions, i.e. of partner institutions, European Commission, Swedish Council of Higher Education, in the purpose of either reporting mobility activities within the Erasmus + program, or transferring application material when you are applying for a study/internship period in another country through KTH.

Retention period and the lawfulness of processing

The personal data that you provide KTH with will be held by KTH in compliance with our Document Retention and Disposal Schedule.
The legal basis for processing your personal data is that it is necessary for the performance of a contract in which the Data Subject (student) is a part and is done in order to complete the agreement that has been established between universities concerning exchange studies/traineeship.

The right to access your personal data

If you want to access your personal data, you may contact dataskydd@kth.se  in this matter.
You can also contact dataskydd@kth.se  if you want to make a complaint on how KTH uses your personal data. You can also make a complaint directly to The Swedish Authority for Privacy Protection .

Correct, block or remove your personal data

You are entitled to request that KTH corrects, blocks or removes your personal data, if the data has not been process in accordance with the GDPR. In this matter, you may contact KTH on mobility-online@kth.se .
