The Faculty Board at ITM had its first meeting the other week. Christina’s management office will, among other things, prepare matters for them.

En förändrad organisation
Om två månader, den 1 april, är jag inte längre administrativ chef vid ITM-skolan, vilket innebär att jag inte längre kommer vara styra över ekonomi, HR och kommunikation. I stället blir jag chef för skolans ledningskansli. Mig kommer man ännu inte undan! Många har undrat hur det nya kansliet kommer att vara sammansatt och fungera, och de senaste veckorna har bilden så smått börjat klarna. Där kommer finnas en kanslichef, vice kanslichef, controller på skolnivå, controller vid varje institution och sist men inte minst kansliets ledningsstöd. Det innebär att tio personer på ITM-skolan kommer att ha som uppgift att stötta skolans samt institutionernas ledningar framöver.
Dessa funktioner finns redan vid ITM idag eftersom vi redan för två år sedan organiserades oss på detta vis. Så för oss blir förändringen mindre än på vissa andra skolor.
Delar av ledningskansliet, den som framförallt stöttar skolans ledning, sitter i Sing-Sing. Skolans verksamhetscontrollers blir kvar fysiskt ute på våra sex institutioner.
Exakt vilka arbetsuppgifter som kommer att falla under ledningskansliet är ännu inte helt fastslaget, men jag tänker mig att kansliet kommer att stötta skolans ledningsfunktioner med att bereda och samordna skolans verksamhetsplanering, liksom att följa upp verksamhetsplanerna. Vi ska bereda ärenden till skolans fakultetsnämnd, bereda och samordna skolans ekonomistyrning, fördela resurser och ha budgetuppföljningar. Exakt vad som ingår är som sagt ännu inte beslutat. Dock vet vi att skolornas kanslier ska ge ett likvärdigt stöd till skolornas ledningar.
ITM:s nya ledningskansli har redan haft sitt första planeringsmöte. Alla i ledningskansliet ska nu få en bättre inblick i de gemensamma utmaningar som institutionerna har, som att exempelvis få en ekonomi i balans.
Utbildningskansliet och servicecenter kommer fortfarande att ligga kvar inom ITM:s verksamhetsstöd. Skolans utbildningshandläggare kommer att planera och bereda de frågor som ska upp till skolans fakultetsnämnd för beslutsfattande. Naturligtvis kommer arbetet göras tillsammans med skolchef, vice ordförande i fakultetsnämnden, Grundutbildningsansvarig (GA) samt Forskarutbildningsansvarig (FA).
Det första mötet i fakultetsnämnden har också gått av stapeln. Det var en lite trevande start, får man nog säga. Det är ett nytt sätt att arbeta på, ingen av oss vet riktigt vad det innebär och hur processer, mandat etc kommer att fungera. Det tar nog några möten innan vi hittat formen för det hela. Ärenden måste fortsättningsvis vara kvalitetssäkrade innan det läggs fram för nämnden på ett helt annat vis än hur det fungerat tidigare. Förhoppningsvis får vi en bra och öppen diskussion där vi visar respekt för varandras kompetenser och att det blir en bra förankring mellan kollegiet och linjeorganisationen. Jag hoppas att jag kommer att tycka att det är lika spännande, utmanande och roligt att närvara vid skolans fakultetsnämnd som jag tycker att det är att arbeta med skolans ledning och dess prefekter.

A changing organization
In two months, on 1 April, I will no longer be the Head of administration at the ITM School, which means that I will no longer be in charge of finance, HR and communication. Instead, I will be the Head of the school’s management office. You won’t get rid of me just yet! Many people have wondered how the new office will be composed and function, and in recent weeks the picture has begun to emerge. There will be a head of office, vice head of office, controller at school level, controller at each department and, last but not least, the office’s management support. This means that ten people at the ITM school will have the task of supporting the management of the school and the departments in the future.
These functions already exist at ITM today, two years ago we organized ITM in this way. Thus, for us, the change will be less comprehensive than for some other schools.
Parts of the management office, which primarily supports the school’s management, are located in Sing-Sing. The department’s controllers will remain physically at our six departments.
Exactly what tasks will fall under the management office is not yet fully determined, but I imagine that the office will support the school’s management functions in preparing and coordinating the school’s operational planning, as well as following up on the operational plans. We will prepare matters for the school’s faculty board, prepare and coordinate the school’s financial management, allocate resources and monitor the budget. Exactly what is included has not yet been decided. However, we know that the schools’ new offices will provide equal support to the schools’ managements. ITM’s new management office has already had its first planning meeting. Everyone in the management office will now have a better insight into the common challenges faced by the departments, such as balancing their finances.
The School’s Office for student affairs and Service Center will remain in the ITM organisation. The School’s Office for student affairs will plan and prepare the matters that will go to the school’s faculty board for decision-making. Of course, the work will be done together with the Head of School, the vice chair-person of the faculty board, the Director of First and Second Cycle Education (GA) and the Director of Third-Cycle Education (FA).
The first meeting of ITM’s Faculty Board has also taken place. It was a bit of a shaky start, one might say. It is a new way of working, none of us really know what it means and how processes, mandates, etc. will work. It will probably take a few meetings before we find our way. Cases must continue to be quality assured before they are presented to the board in a completely different way than how it was done before. Hopefully we will have a sound and open discussion where we show respect for each other’s competencies and that there will be a useful link between the faculty and the line organization. I hope that I will find it as exciting, challenging and fun to attend the school’s faculty board as I find it to work with the school’s management and its heads of department.
