Book rooms at the library

In the library, certain spaces are available for booking, primarily those reserved through the central room booking system (Ångdomen, Salongen, and others). The library also has its own spaces that may exceptionally be booked for activities (Entrance Hall, South-East Gallery, and Library Hall). Please note that these spaces are primarily study environments and are used for the library’s daily operations. Library Hall is not rented out unless there are exceptional circumstances.

KTH Library Premises

Please note that your booking request is only an inquiry and must be processed by the library’s group responsible for events and room bookings. This is necessary because different activities and events must be coordinated so as not to disrupt regular operations and may sometimes need approval from the library management team.

Entrance Hall

Only the area by the window between the entrance and the gate to Norra tornet is available for booking. The space can be booked during the academic semester.

Due to fire safety regulations, the number of people in a furnished Entrance Hall is limited to 90 persons. Large events must be reviewed by the Security and Safety Department to assess required measures and determine the exact permitted number of participants. South-East Gallery

Bookings are only permitted on weekdays between 08:00–13:30.

During weeks when KTH students have independent study periods and examination weeks, the space cannot be booked. Outside the academic semester, the space may be booked during library opening hours or by agreement.

Due to fire safety regulations, the number of people in a furnished space is limited to 55 persons. Large events must be reviewed by the Security and Safety Department to assess required measures and determine the exact permitted number of participants. Library Hall

We are generally very restrictive regarding large events in Library Hall, as they may disrupt regular operations.

All booking requests for Library Hall must be sent to biblioteket@kth.se , after which the Library Director decides whether the booking will be approved on a case-by-case basis.

Due to fire safety regulations, the number of people allowed in the Library Hall is limited to 270 persons. If activities on floors 3 and 4 are temporarily closed, the capacity on floor 2 may be increased to 850 persons.

Each event must be reviewed by the Security and Safety Department to assess required measures and determine the exact permitted number of participants.

Book photo och film shoot

A common request concerns booking smaller parts of Library Hall for photography or filming. Approval must always be obtained from the library via biblioteket@kth.se .

Photography bookings are usually free of charge.

Ångdomen

Booking requests for Ångdomen are handled through KTH’s central room booking  service at 9400@admin.kth.se and invoiced through the booking office.

Due to fire safety regulations, the capacity is limited to 96 persons when furnished. The space is primarily a study environment and is therefore booked sparingly.

GRU classrooms

If valuable equipment needs to be stored in the library before or after an event, a GRU classroom (undergraduate teaching room) must be booked for this purpose.

The booking must specify that the room is to remain locked and requires access card authorization. Contact kortexp@kth.se .

The library has no other storage facilities available.

Book group study rooms

KTH students may book one of the library’s group study rooms . A bookable resource room  is also available for students with certification from Funka support services.

If you wish to book several group rooms for an event, contact biblioteket@kth.se  to explore availability and pricing.

A maximum of six group rooms for up to six hours in one day may be booked, as these rooms primarily serve as student workspaces.

Event Conditions

The following criteria must be met:

  • All booked activities must be connected to KTH or considered beneficial to society, for example advance voting or vaccination services.

  • Events held during regular opening hours should be open to library visitors.

  • Events should not take place during examination periods.

Pricing and booking

The library charges venue rental fees for Entrance Hall, South-East Gallery, and Library Hall. Prices follow the current price list and depend on the space and scope of the event.

Event booking procedure

All booking requests (except spaces handled through central room booking) must be sent to biblioteket@kth.se .

Please include the following information:

  • Client

  • Department/division

  • Date

  • Time

  • Purpose/activity

  • Number of participants

  • (Invoice reference)

  • Contact person

Event procedures

Safety

Security and Safety Department must always be informed. All larger events must be reviewed by the Safety Unit to determine required measures and maximum capacity.

Send event information, date, time, venue, and expected number of visitors to sakerhet@kth.se.

Furniture

Library Hall contains study areas arranged as circular units with bookshelves on the exterior. These units are fixed installations with integrated electrical wiring and are not designed to be moved.

Permanent furnishings are only moved in exceptional cases.

The organiser must separately book and pay for storage space and arrange and pay for contractors or movers responsible for packing and relocation.

Contact hantverkarna@kth.se  well in advance. Books must be packed in the correct order to allow proper re-shelving after the event.

Packing and relocation require at least two working days before and one day after the event and must be included in the booking period.

All booked time restricts student access to the space and collections and should therefore be kept to a minimum.

Technical equipment

KTH Library does not provide technical equipment or support.

KTH’s IT Department is responsible for existing technical equipment in KTH premises and provides event support. Orders are placed via it-support@kth.se .

Lighting

Lighting in the library is centrally managed by Akademiska hus, who must be contacted for events outside regular working hours or when special lighting is required.

After working hours, some spaces follow preset lighting configurations that KTH staff cannot change.

Event information

The library information desk cannot assist with event-related questions before or during events.

Questions must be directed to designated contact persons. Organisers should arrange their own information desk if needed.

Signage and event materials

Signs, posters, and other printed or digital materials displayed in the library require special permission.

Cleaning related to events

The organiser is responsible for restoring the venue to good condition and removing all waste.

Review cleaning arrangements in advance to determine whether additional cleaning is required. Questions and bookings for extra cleaning should be sent to 9200@admin.kth.se  and are quoted per occasion.

Cleaning after catering

After the event, the organiser must ensure all catering-related materials are removed. Nothing may be left in library premises. (This should preferably be included in the catering agreement.)

Cloakroom

The library does not provide cloakroom services. Organisers must arrange coat racks if needed.

KTH does not compensate for stolen valuables. Consider whether a staffed cloakroom is necessary, or clearly inform guests that unattended belongings are left at their own risk.

Entrance host

When the library is closed, organisers must ensure guests are guided into and out of the building and prevent unauthorized access.

Access cards

Ensure all required spaces are accessible during your event. Order access cards for staff if needed and verify access permissions.

It is important that the project group defines clear areas of responsibility to facilitate communication with suppliers, handle unforeseen situations, and professionally support speakers and participants.
