I skrivande stund kommer beskedet från rektor om förutsättningar för höstterminen 2020. KTH öppnar för campusförlagd utbildning höstterminen 2020 och ger succesivt tillträde för studenter i KTH:s lokaler fr o m lördagen den 1 augusti 2020. Undervisning får bedrivas på alla KTH-campus i enlighet med regeringens besked och Folkhälsomyndighetens rekommendationer.

Inom stödverksamheten planerar vi för att komma tillbaka till arbetsplatsen. Många av oss har suttit hemma under ett antal veckor medan andra har varit på plats som vanligt. Vissa av funktionerna och arbetsuppgifterna är av sådan art att hemarbete inte fungerat. ”Det är svårt att vara badvakt på distans”.

Tanken är att vi ska vara bemannade på våra campus direkt efter semestrarna och i samband med inskrivningen av våra nya studenter. Men vi inväntar direktiv från KTH innan vi beslutar hur vi gör, och besked har utlovats före midsommar.  Som sagt, det är bråda dagar att få igång planeringen inför detta. Personligen ser jag fram mot att komma tillbaka in i ”gamla” vanor, men framförallt ser jag fram mot att få träffa mina kollegor och alla andra på KTH.

Stödverksamheten har tillsammans med en referensgrupp (lärarrepresentanter) tagit fram ett utbildningsmaterial riktat mot ITM:s projektledare. Syftet är att skapa en digital kurs med namnet ”Kurs för projektledare på ITM-skolan” som på ett kortfattat och lättförståeligt sätt beskriver de regler och rutiner som är anpassade för KTH för att uppnå en rättvisande bild och resultat av de ekonomiska händelser som sker i ett projekt. Tanken är att materialet ska uppdateras efter att behov uppstår, samt att projektledaren kan sätta sig in i olika frågor när tid finns för detta digitalt. Vi återkommer under hösten med ett färdigt informations- och kursmaterial.

Som ni förmodligen redan känner till ska all information på webben tillgängliggöras. Lagen träder i kraft den 23 september 2020. Lagen om tillgänglighet till digital offentlig service (DOS-lagen) kräver att digitalt innehåll ska vara:

  • möjligt att uppfatta, oavsett eventuell nedsättning av exempelvis syn eller hörsel,
  • hanterbart, dvs möjlig att interagera med,
  • begripligt,
  • robust, dvs kunna användas med ett brett spektrum av olika användarprogram, såsom webbläsare eller tekniska hjälpmedel.

ITM:s kommunikationsenhet planerar genomförandet av detta arbete, eftersom mycket av de dokument vi har publicerade måste tillgängliggöras.

ITM:s HR-enhet passar på att informera om att lönerevisionen kommer att senareläggas i år. Dock är revisionsdatum fortfarande den 1 oktober 2020. Anledningen till detta är att arbetet blivit uppskjutet på grund av Covid-19. Det innebär att vi inte har lika bråttom att komma igång med de enskilda lönesamtalen direkt efter sommaren. Vi avvaktar ytterligare information i frågan.

Vi har målgång den 15 juni för alla anställda som varit med och motionerat under de senaste veckorna. Vi startade den 18 maj ”KTH ACTIVE TOGETHER”. Det hela går ut på att peppa varandra och att vi ska röra oss mer. Vi får anledning att uppmärksamma ITM:s tre aktivaste lag före midsommar.

Sista men inte minst vill jag och hela stödverksamheten önskar er alla en riktigt trevlig och välförtjänst sommarledighet. Det kan vi alla behöva innan vi drar igång igen i höst! Vi passar också på att tacka för ett gott samarbete under vårterminen.

At the time of writing, a message comes from president Sigbritt concerning the how to run KTH during autumn semester 2020. KTH will resume campus-based education and provide successive access for students at KTH’s premises from Saturday, August 1, 2020. Teaching may be conducted at all KTH campuses in accordance with the government’s message and the recommendations of the Public Health Authority.

The Professional support teams (administration) plan to return to our workplaces. Many of us have been working remotely for a number of weeks while others have been on site. Some functions and tasks are impossible to execute remotely. “It is difficult to be a lifeguard at a distance”.

The aim is to be back on campus immediately after the holidays and in connection with the enrollment of our new students. However, we still wait for directives from KTH before deciding how we do it, and this information will come before midsummer. That said, it is urgent to start planning for this. Personally, I look forward to getting back into “old” habits, but above all, I look forward to meeting my colleagues and everyone else at KTH.

The Professional support teams, together with a reference group (teacher representatives), have produced a training material aimed at ITM’s project managers. The purpose is to create a digital course called “Course for project managers at the ITM school” which briefly and easily teaches the rules and routines adapted for KTH to achieve a true picture accurate results of the economic events taking place in a project. The idea is that the material will be updated as needs arise, and that the project manager can immerse themselves into different questions digitally when there is time for this.

We will come back later with completed information and course material.

As you probably already know, all information on the web will have to be made accessible. This new act comes into force on September 23, 2020. The Act on Access to Digital Public Service (DOS-lagen) requires digital content to be:

  • possible to perceive, regardless of any impairment, for example, sight or hearing,
  • manageable, ie possible to interact with,
  • understandable,
  • robust, ie can be used with a wide range of different user programs, such as browsers or technical tools.

The ITM Communication team is planning the implementation of this work, as many of the documents we have published must be made accessible.

ITM’s Human Resources team announces that the salary audit will be delayed this year. However, the revision date is still October 1, 2020. The reason for this is that work has been delayed due to covid-19. This means that we are not in such a hurry to get started with the individual salary discussions immediately after the summer. We await further information on this issue.

The finish-line for “KTH ACTIVE TOGETHER” is due June 15 for all employees who have been involved and exercised in recent weeks. It all comes down to pep-talking and coaching each other to be more physically active. We will pay attention to ITM’s three most active teams before midsummer.

Last but not least, me and the entire Professional support team wish you all a really nice and well-deserved summer vacation. We may all need that before we start again this autumn! We also take the opportunity to thank you for a good cooperation during the spring.

ITM ahead when Sigbritt introduces new guidelines /Försprång för ITM

Sustainability Manager Kristina Von Oelreich’s mail shows up in my mailbox (appropriately enough) during the Global Climate Week. President Sigbritt wants to reduce carbon dioxide emissions from KTH’s travels. Considerably. Most of KTH’s activities aim to bring forward students, technology, services and products that lead to a more sustainable society, or as we say: a brighter future, it is not more than fair that we have to walk the talk.

The action plan in the mail consists of 17 points, and, pleasantly surprised, I note that ITM is ahead: we already have electric scooters, SL cards to borrow and new employees are informed about the ambitions at the introduction to the school. In addition, we have already made suggestions that travels by train can be made in first class if you work during your journey, and that working time here can be included in your work hours. Also, that more expensive alternatives are ok if it leads to significantly reduced environmental impact.

At ITM we may need the advantage, because the action plan now puts the schools in the limelight.The schools’ emissions will be measured and each school will have information on how much they need to reduce their emissions from travel to reach KTH’s sustainability goals. And all the results will be reported on the intranet.

As you already know, the president (V-2018-0956) has decided to set up a climate pot with the aim of reducing KTH’s carbon dioxide emissions. The consequence for ITM is that we allocate SEK 372,800 for our 2020 funds to the climate pot.

But it’s also important that it’s made easy to choose sustainable alternatives. Now KTH will facilitate choosing trains, making it easier to have digital meetings, even at dissertations. KTH also wants to encourage traveling to work in a sustainable way. And according to the President’s action plan, anyone who uses an electric car or bicycle to KTH will soon meet a brighter future. Stay tuned.

Hållbarhetschef Kristina Von Oelreichs mail landar lämpligt nog i min brevlåda under den globala klimatveckan. Rektor vill minska koldioxidutsläppen från KTH:s resor, och det rejält. Med tanke på att hela KTH:s verksamhet handlar om att få fram studenter, teknik, tjänster och produkter som alla ska leder till ett hållbarare samhälle, eller som vi säger: en ljusare framtid, är det inte så märkligt att vi måste börja leva som vi lär.

Jag läser handlingsplanen som är i 17 punkter och inser – glatt överraskad – att ITM redan har elsparkcyklar, lånekort på SL, nyanställda informeras om ambitionerna i introduktionen på skolan. Dessutom har vi redan tagit fram förslag på att tågresor kan göras i första klass om man arbetar på tåget, att arbetstiden här ska räknas som arbetstid och att dyrare alternativ får väljas om det leder till rejält minskad miljöpåverkan.

Vi på ITM kan behöva försprånget, för handlingsplanen riktar nu strålkastarljuset på skolorna.Skolornas utsläpp ska mätas och varje skola ska få beting som beskriver hur mycket de behöver minska sina utsläpp från resor för att nå KTH:s hållbarhetsmål. Och allas resultat ska redovisas på intranätet.

Som ni redan vet har rektor (V-2018-0956) beslutat att inrätta en klimatpott i syfte att minska KTHs koldioxidutsläpp. Konsekvensen för ITM är att vi från våra anslagsmedel avsätter 372 800 kronor för år 2020 till klimatpotten.

Men det måste också vara enkelt att välja hållbara alternativ. Och nu ska det bli lättare att välja tåg, lättare att välja digitala mötesformer, även vid disputationstillfällen. Det handlar också om att resa till jobbet på ett hållbart sätt. Den som tar elbil eller cykel till KTH går enligt rektors handlingsplan snart en ljusare framtid till mötes.

Nominate a candidate for our Head of school

Nominera hen till skolchef

Vem vill du se som skolchef för ITM från och med nästa år? Har du tänkt tycka till är det brådis – den 16 oktober ska alla förslag vara inne.

För du vet väl att vi som är anställda på ITM kan nominerar en eller flera personer – eller oss själva – till skolchefsrollen.  Givetvis finns det vissa minimkrav för att vara behörig som skolchef, till att börja med bör du exempelvis vara professor eller lektor. Ja, därmed kommer inte jag själv på fråga.

Nomineringskommittén har fler önskemål på sin lista:

  • Framgångsrik erfarenhet av ledarskap över större enheter med arbetsmiljö och personalansvar (som skolchef, vice skolchef, prefekt eller motsvarande)
  • Professor/lektor på docentnivå med forskningsledarerfarenhet
  • Uppvisa formell ledarskapsutbildning av omfattning
  • Visad god förmåga att arbeta med visioner och strategier att utveckla skolan och KTH
  • Visad god förmåga att genomföra förändring och kunna fatta beslut
  • Visad god samarbetsförmåga inom KTH, mellan skolor, med KTH:s ledning och studentkåren
  • Legitimitet och integritet, förmåga att representera KTH externt
  • Ska kunna presentera en vision för aktuell skolas utveckling inom utbildning, forskning och samverkan med samhälletNomineringskommittén består av en permanent nomineringsgrupp för skolchefstillsättningar inklusive representanter från ITM-skolans strategiska råd. Kommitténs uppdrag är att ta fram ett förslag på ny skolchef till rektor som sedan är den som väljer ny skolchef för ITM.

Who would you like to see as Head of school for ITM from next year? If you want to have a say, there’s still time – but just. The deadline for your candidate is October 16.

I hope everyone’s aware that all ITM employees can nominate one or more person – or ourselves, for that matter – as the Head of school. Naturally, there are some minimum requirements to be qualified as a school principal. To begin with, for example, you should be a professor or associate professor. No, so I do not qualify.

The Nominating Committee has more requests on its list:

  • Successful experience of leadership across major units with work environment and personnel responsibilities (such as Head of school, Vice head of school, Prefect or equivalent)
  • Professor/Associate Professor at docent level with research leader experience
  • Demonstrate formal leadership training of scope
  • Demonstrated good ability to work with visions and strategies to develop the school and KTH
  • Demonstrated good ability to implement change and be able to make decisions
  • Demonstrated good collaboration skills in KTH, between schools, with KTH’s management and the student union
  • Legitimacy and integrity, ability to represent KTH externally

The nomination committee consists of the permanent nomination group and representatives from the ITM School’s strategic council. The committee’s mission is to produce a proposal for a new Head of school to presented for the President, Sigbritt Karlsson, who makes the final decision.

Spring is on the way

ITM Newsletter

We are now underway with the ITM School’s newsletter. The first newsletter was sent out on 14 March. The idea is that a newsletter will be sent out to all employees every fortnight. The newsletter will contain both internal ITM news, as well as KTH news.  The intention is that we will have better internal communication here at ITM and better knowledge of what is going on at the school. Hopefully, this will reduce the volume of internal mass email. To a certain extent, the central KTH news will replace news that was previously published in Campi.

For future newsletters, the Communications Department would like to receive input from the faculties no later than Monday of the same week in which the newsletter will be sent out (i.e. Mondays on odd numbered weeks).

Quality assurance

At the moment, KTH is fully focused on quality assurance. At an overall level, the KTH quality assurance of education across all levels, research and the supply of academic skills involves ongoing follow-up every year and a regular review every sixth year. The ongoing follow-up for research will be conducted through reports, analyses and reflections produced at both institution level and school level. The focus will be on monitoring output in the form of publication (scientific impact), external funds and more qualitative self-evaluation of the research environments with respect to quality culture. The selected focus on publishing, research funding, research environments and quality culture is motivated by the fact that these aspects are considered of particular relevance for indicating, ensuring and contributing to high-quality development in the research that is conducted at KTH.

The ongoing monitoring of the supply of academic skills will be conducted through reports including analysis and reflection produced at both institution level and school level every year. The focus will be on the monitoring of current personal data and reflection on in progress and expected development going forward.

Regular review of education at KTH

The regular review of education at all levels, including collaboration, will be implemented in a six-yearly cycle and led by the School management and Directors of Education at each school in accordance with the Faculty Review Guidelines issued by the President.

The regular review will ensure that the education programmes at KTH are high quality and that development is driven systematically and strategically so as to meet the educational requirements and targets for each programme. The combination of internal, ongoing monitoring each year and the regular review of the school every sixth year, will produce good conditions enabling firstly, the identification of what needs to be developed and secondly, to introduce measures where best needed for the education programmes to retain high quality along the journey from admission to graduation.

It should be easy to do the right thing!   

In autumn 2018, the School was reviewed with regard to regulatory compliance. It was revealed that the School requires a lot of improvement, and we were asked to submit an action plan to the President of KTH and University Board, which in turn adopts the School’s action plan.

The School of Industrial Engineering and Management’s administration has been process-orientated for many years. But when daily life creeps in, it can be easy to miss something. This may, for example, involve the quick implementation of a new resource, but even then there is legislation that must be followed.

We have begun work on producing videos connected to the administrative processes. These shall be made clearly visible on our internal website. The idea is that it should be quick and easy to get information on what needs to be done. The first video that was produced is called “Purchasing and Procurement”. This is one of the more complex processes. The second video that has been completed is “The Travel Process”, which covers elements to consider prior to a trip all the way up to the reimbursement of travel expenses.

The fact that the aforementioned processes of Purchasing and Procurement, Travel, Entertainment Expenses and Secondary Occupation were selected in stage one is due to the fact that it was within these processes that the School had the most issues in the internal audit.

We hope that the videos will contribute towards making it “Easy to do the right thing”, a quick reminder of what applies in terms of the laws, policies and ordinances that are applicable to employees within a government agency. The films are produced within the School of Industrial Engineering and Management, as we now have the resources to do so, thanks to the unit for digital learning becoming part of ITM, and a growing communication unit within business support.

 Environmental work at KTH’s schools and Joint Business Support (GVS*)

One of the Principal’s areas of priority is Environment and Sustainability. This means, among other things, that today there is a great deal of focus on these issues at KTH. The environmental work at the schools/GVS is run centrally from 01/01/2019 at the KTH Sustainability Office, together with the schools’ management.

Here the schools’ environmental organisations, environmental goals and local routines are described. Based on the overall Sustainability Goals, schools/GVS establish goals and action programs. Local routines are also developed within the areas that require more detailed guidance.
